Your suppliers are expecting you to pay them on time so you, in turn, must ensure that you get paid by your customers.

Here are some tips from Canada Business Network that may help you:

Invoice Immediately - otherwise you end up carrying your customer's debt

Organize your Collection System - have a system! Stay on top of it or designate someone to do it for you. Documenting interactions and following your system will prove beneficial if you have to take legal action for non-payment. Final notices may even be sent out by certified mail.

Script It - have a script that you use for every interaction with non-paying customers. Have pre-drafted letters for past due accounts. This will allow you to be direct and consistent with your customers.

Reward Early Payment - you may wish to give a small discount (2% or so) to customers who pay their invoice within 10 days or perhaps you will wish to implement late fees for those who miss the due date. Be sure to be clear on the invoice so you customer knows what the rewards/penalties are.

Partial Payments - you may want to collect 1/2 up front and the remainder on delivery. Your system should be designed to meet the needs of your business.

Know Your Customer - getting to know your customer's likes, dislikes, spending habits, credit history (check it periodically) will help you manage their account more effectively.

Take it Seriously - when several of your requests have turned up no response, it's time to take serious action. Don't hesitate; ramp up the pressure. You may wish to seek legal advice or use the services of a collection agency.

Controlling cashflow is one of the key pillars of business success.
It's smart to treat it accordingly.

Removing Barriers to Innovation

Innovating involves disrupting the status quo. Trying to achieve something new while doing the same old thing will probably lead to the same old thing. In fact, it's often referred to as the definition of insanity. You have to be prepared to change what you're doing if you want different results. I'd like to suggest a 3 Step process to help you get started:

Focus Your Efforts
So you've identified an opportunity and you want to explore it's potential before you spend your money. Start by filling in the brackets for the following statement: There is an opportunity to provide (who) with (what) that (fills what need). Step one is always to identify your potential customer and define what it is you have to offer. What you have to offer must fill a need or there will be no customers. Getting as clear as you possibly can about this statement will be the key to moving further.

Once you've defined your opportunity, it's time to force connections. Solutions are often found in the periphery. Be prepared to look at things from new angles and see how seemingly unrelated things can change your perception of the overall picture. Brainstorm your ideas without judging them at this point. It's meant to be a "stream of consciousness" activity. WRITE THEM DOWN.

Blend Together
Explore the Top 3 ideas that appear to be the most promising. Choosing three (3) will help you stay focused while at the same time forcing some disruption of the norms. You should be thinking about the "bits" and the "benefits". The bits are the product, service and information that you will provide. The benefits are about your partners, customers and users. All the bits should work together and all parties should benefit from the innovation.

This is the meat and potatoes of your innovation. This process will determine whether or not you need to explore more of your ideas in order to find something worthy of launching.

Explore Your Disruptive Ideas
Define and refine your Top 3 Ideas. Remain open to connections that may seem a bit unconventional. Without disruption of the status quo, there is no change. Without change, there is no innovation.

Have Fun !!!

Managing Your Business' Online Presence

As online technology becomes more mobile, many reluctant business owners are being forced to take a close look at their marketing strategy. The value of a survey is directly proportional to the thought that goes into creating it and carrying it out.

The first step in conducting a valuable survey is to figure out WHY? You need to know what it is you hope to learn. Remember to stay open minded and not prejudge the results. Once you know why, you can figure out what to ask and who will participate. Knowing why will also help you to decide when to conduct your survey and how to carry it out.

Here are some examples of reasons you might want to put the effort into conducting a survey:
- testing the effectiveness of your marketing plan
- finding out if there is demand for a product before you launch/spend
- guaging customer satisfaction with service/product
- learning more about the lifestyle of your customer
- evaluating brand awareness
- determining the need for staff education

These are some of the more common reasons businesses survey. Your "why" will dictate who you want to ask, what you want to ask them, when you will ask them and how you will reach them. Some surveys are conducted at point of sale, some are done on-line, some are done over the telephone. You need to know your why.

No question about it, well thought out surveys remain a very effectvie tool for readjusting the sails and keeping a business on the course to success.

Survey Reveals Secrets of Small Business Success

The Canadian Federation of Independent Business (CFIB ~ http://www.cfib.ca/) surveyed 8,900 small business owners to get a glimpse into the reasons they believe they are successful. However, consumers are more likely to tell friends and family about their bad experiences than their good ones. How can you be sure that they are talking about your business in a positive way? Providing a welcoming and caring experience can really effect your future business. It can determine whether or not they tell friends as well as whether or not they will return as a repeat customer. In today's world, social media such as Twitter & Facebook have made word of mouth even more important. These networking sites provide an open forum for consumers to discuss and share information in "real time". With more than half of Canadian consumers using these tools, there's big incentive for business owners to get on board. These same tools allow business owners to be innovative, better anticipate customer needs and track feedback on their own business as well as that of their competitors. It's important to monitor how you're interacting with your customers. Are you giving them reasons to recommend you to others? Is there something that you could do differently that would make their life easier? Will they choose your business the next time they shop for the same product? Do you know when people are talking about your business on-line. The only way to measure improvements going forward is to assess and measure the current state.

The High 5 of Business Success

Every business is unique and yet they all have similarities. There are best practices that will lead to success for any business if carried out properly. There is no such thing as a business owner who is an expert at everything. It's important to know when you're in over your head and equally important to be willing to call on outside expertise for help. Here are the 5 areas of every busienss that must be monitored and understood in order to succeed.....

1) Creating a good Business Plan - this is without a doubt one of the most important things any business owner can do. Often referred to as the "road map" to the future, a good business plan will provide a firm foundation from which to measure progress, track assumptions and identify areas for future success. It should be written before launching a business and updated regularly.

2) Establish a Group of Advisors - be sure to focus on your own needs when choosing this group. Each individual business owner will bring their own expertise to the table when they start their business. The more you know about your own abilities, the better able you will be to identify areas where you might need help. Some are obvious (accountant, lawyer, business consultant..). Other areas may be less obvious (graphic designer, human resource support, marketing consultant...). Remember - get help before you REALLY need it.

3) Identify Effective Sales & Marketing Opportunities - knowing your customer well and having a presence in the area where they are likely to look for your product or service is key. You must do everything you can to understand your customer, then, develop a marketing strategy to reach them and finally, track the results to make sure your strategy is achieving the desired goals.

4) Manage Cash Flow - knowing how the money is flowing in and out of your business is essential. Even if your knowledge of accounting is limited, this knowledge will help you to negotiate terms with suppliers, control your inventory, decide whether or not to purchase equipment, strategize for expansion or hire others. Pretty important decisions I'd say.

5) Invest in Knowledge - often the best investment that a business owner can make is an investment in their own learning. Things are constantly changing and it's necessary to keep up. The information age and the accomanying growth in on-line activitiy is really driving this need. Stay informed.

The fun and the challenge is found in juggling all of these needs at once and knowing when to reach out for help.

7 Tips for Building Your Cash Flow

When business conditions are difficult, it's necessary to stay on top of your finances and boost cash flow wherever you can. Here are some ways to find cash in your business: 1) Develop a tracking system - spreadsheets work well for this. You can track your cash as it comes in and goes out throughout the month. It'll help you stay on top of problems. 2) Keep a Close Eye on Financial Statements - watch for changes in gross margin or inventory turnover. Examine the statements line by line 3) Strengthen Relationships with Customers & Suppliers - loyal customers mean sales, partnering with suppliers could mean extended payment terms. 4) Fire the Deadbeats - playing the nice guy with customers who don't pay doesn't help. 5) Manage Your Inventory - know what's selling and what's taking up space. Control it. 6) Finance Large Purchases with Debt - borrowing money for large equipment can free up cash for working capital. 7) Eliminate Waste - waste can happen anywhere in your business. Keep you eyes open for ineffiencies and wasteful practices and eliminate them when ever possible.

Social Media Conference

Fleming College is offering a day long conference tomorrow at their Cobourg Campus to help businesses and individuals develope an integrated strategy toward their use of social media. We all have the same number of hours in a day; every day. No amount of managing can change that fact. What we actually manage are the choices we make about what we will do with the time we've been given.

Let's do some math here for a minute. There are 168 hours in a week. When we subtract sleep and our day of rest, we're left with about 80 hours a week (give or take a couple). Divide 80 hours by 6 days and we have roughly 13-14 hours per day. Still sounds like lots of time, eh?

Now let's subtract meals, exercise, travel time, socializing (& any other activity that you feel you need to do).....most of us will be left with 7-10 hours per day available for productive work.

Does this still sound like lots of time to you? Let's start breaking down the work day into activities required to support your business. Things like: Reading & Responding to Email, Reviewing Educational Liturature, Marketing & Community Building, Research & Sourcing Materials; can easily eat up half of your day. Now we can see how a 7-10 hour work day actually equals 2-4 hours of productive time for creating, selling, proposing and generally working on your "to do list".

How many high priority tasks on your "to do list" will require several hours of your attention? Are you deluding yourself (as we all do periodically) into believing that you can do it all? Does that lead to disappointment? Are you in denial about this reality?

Let's try a different list of "D's".......

1) Delete tasks that don't fit your big picture goals

2) Diminish & streamline routine tasks (ie: only check emails twice daily)

3) Delegate tasks that don't have to be done by you (can usually be done by others for less)

4) Delay tasks that are not high priority (prioritize your list)

Your mission/homeowrk:

1) For 1 week, log every activity you do along with time spent

2) Analyze, review and categorize using the D's above

You will be surprised at how quickly this can change your business and your life.

Criteria for Designing Your Website

The criteria used to "design a website" is not unlike that used to define "your ideal clients". In fact according to the leader of a webinar I attended earlier this week, they were so similar to last weeks blog, that I believe it's worth repeating here:

1) Define you ideal client. This requires you getting really curious about who you're serving and then doing the work necessary to find out who they REALLY are. (Market Research!)

2) Know what they want when they visit your site. (part of your Market Research)

3) Set yourself apart from the competition. Make sure your clients understand why your service is different from the competition. It's wise to compete on a level other than money. (Someone will always be willing to do the job cheaper).

4) Show them what's in it for them. Make it easy for clients to find what they want and give them reason's to return to your site. (Quality content)

5) Decide what the purpose of your site is. Make sure you have ways to measure your results by subscribing to Google Analytics or a similar product.

6) Create a StoryBoard for your site. Show all the connections most likely to be used. The goal is to make sure clients can find what they're looking for in "2 clicks".

7) Hire a web designer and share your criteria. Be sure that they can make it EASY for you to administer your own site once they leave. (I hear Wordpress has some great features that are easy to use).

Make serving YOUR customer YOUR job.

Remember that you're hiring the designer to work for you and that you know your customers better than the designer does.

Work together with the designer and be their Ideal Client.

Want More Ideal Clients?

Who is an Ideal Client? It's one who:

-Respects your opinion and listen to your advice
-Pay what you ask and don't quibble over price
-Works with you to arrive at solutions
-Responds to your calls/emails in a timely manner
-Sends you quality referrals

Wouldn't we all like to have more "Ideal Clients"? Statisitcs show that they typically make up 20% of our clientelle and generate 80% of our revenue. How can we increase that 20%?

1 - Clearly define your target market (know who they are)
2 - Cater to their needs (know what they want)
3 - Offer measureable results (quality service on time)
4 - Show them what's in it for them (loyalty programs, referral programs...)
5 - Build trust and credibility (be likeable, make eye contact, genuine empathy)
6 - Create a sales cycle that builds trust (it's consistent & frequent)

Start paying attention to the ideal clients and fire the ones that are consuming your time
without generating revenue or bringing you repeat business. It's too easy to be so busy catering to the needs of the lesser client that we ignore or take the ideal client for granted.

Buisness goes where's it's invited.......& stays where it's appreciated.

S

Successful Goal Setting for the New Year

Once upon a time, one of my wisest mentors pointed out to me that when it comes to setting goals "hope is not a plan".

Think about that for a moment. How often do we actually say we "hope for this or that to happen" but we never really take any concrete action to make it happen? Or.... we think we have done things to make it happen but we haven't been clear and specific in our vision and therefore our actions are unclear and non-specific.

Success in accomplishing any goal is always in the details. Goals need to be Specific, Measurable, Achievable, Realistic & Timelinked (SMART) or they're not really goals at all. Once we have a SMART Goal, we can create a plan to achieve it. If we plan our work and then work our plan, it will result in success.

May you accomplish many SMART Goals in 2011.

Does Your Business Need a Makeover?

1) Fit your business with a simple, solid, flexible business plan
2) Refresh health and productivity strategies
3) Adopt saavy social media secrets
4) Rejeuvenate a storm of publicity
5) Experience the joy of building a team of advisors

2011 is the year to invest in yourself and your business. They usually have a setting and characters and they often have a theme. Generally speaking people react strongest to stories they can identify with. They see themselves as part of the story. Stories are in fact how we learn best and retain that learning most effectively. Stories let us convey wisdom and explain concepts in an entertaining way. The best stories motivate and lead people to a "call to action".

When telling your business story, begin with the end in mind. What is the purpose of telling this particular story? Start with a character that your audience can relate to. Make sure your story has a point and is useful to your audience. Consider the "call to action" as you build your story. Be aware of who your audience is and how they will relate to your story.

An example: a Spa Owner may wish to tell a story of how regular massage therapy has eliminated the need to take pharmaceutical pain killers for one of their clients who has a back injury. Another example: the owner of a Service for Seniors business may want to tell a story of how their services allow clients to stay in their own home thus saving them alot of money and the emotional distress of moving. You get the idea.

The more real and relatable your story; the more impact it will have in the telling.

Remember that a story by e-mail is different than a story in your blog which is different than a story you tell face to face. Tailor your story to suit the audience and the medium your using to convey it!

Financing A Business Idea

There still seems to be a good deal of mythe about the availability of money for a business idea. No matter how wonderful you think your idea might be, there is no pot of gold sitting there waiting for you to come and collect. Grants are not all that common, they come with strings attached and they usually require a fair bit of work to get. Loans also require a fair bit of work. Anyone who has money to lend will want to see that you have thought your idea through thoroughly. That usually means writing a Business Plan. They will also want to see that you are willing to assume some (if not most) of the risk yourself.

Whether it's a bank or a private lender, chances are they will be thinking about the same criteria while you're busy pitching your idea to them. It goes something like this:

1) How quickly can I expect to be repaid?

2) Is the managment team competent? Do they have advisors/mentors/coaches?

3) Have the owners invested in this business themselves? If so, how much?

4) What can I expect to recover if this idea fails?

Be prepared to answer the hard questions if you expect someone else to give their money and be prepared to let them stick their nose in your business.

S

Business Success Program

There is an air of excitement at the Business Advisory Centre today as we finalize preparations for the launch of the Business Success Program scheduled to take place at Victoria Hall on Monday, November 29th.

More 100 people are planning to attend and hear first hand the details about a program like none other in the province of Ontario. Discipline to focus and stay on task helps. However, I think getting a handle on what you're really doing with your time may be the best starting point. Kind of like keeping a food diary to study your eating habits. This would be a time diary to track what's eating your time.

Yes, I'm suggesting that you write down everything that you do and how long it takes you to do it. Keep your diary for a week. Don't judge anything at this point. You're trying to capture everything that you normally do so you can analyze it honestly later.

At the end of the week, take a look at what you've been doing and then start to categorize your activities. Some activities will immediately reveal themselves as being big timewasters. My suggestion is that you create a few categories for these....

Delete - any activity that doesn't contribute to the big picture. Stop doing it!

Deminish - streamline your routines (ex: check emails twice daily not as they arrive).

Delegate - does it have to be done by you or does it simply have to be done?

Delay - can it wait until later (stop giving your attention to stuff that can wait).

Hint: revenue generating activity is the most important task of any business!

Happy Streamlining!

What Makes Your Business Remarkable?

Ideas spread when people choose to tell other people.

Why would I want to tell others about you?

because.......

- I feel smart alerting others to what I've discovered

- I want you to succeed

- I will benefit financially by telling other about you

- your service works better if more of my friends use it

- your idea will make people happier and healthier

- you asked me too and you're hard to refuse

- I like sharing fun and your idea is alot of fun

- I'm in awe of your idea and the only way to repay you is to share with others

I'm sure you can think of other reasons.

You need to make your idea Remarkable if you want others to remark about it.

How Well Do You Know Your Customers?

Can you name your top 5 customers? The order of the questions usually runs from the very general to the very specific without leading the participant.

2) That Qualitative Survey will ask probing questions that explore without leading. There is often an interest in bringing in all voices and the results are usually supported by quotes. Focus groups work well when this is the type of information you're looking for.

A well designed survey is the key to getting reliable marketing information that answers the questions you need answered. Spending time assessing the value of the questions will ensure the usefulness of the answers and ultimately the effort. Test it on your friends, family and network first.

Webinars for FREE

Are you a self directed learner? You can't hit the bullseye if there's no target. Make your goals S.M.A.R.T. (Specific, Measurable, Achieveable, Realistic and Time-linked). Focus on 2 or 3 key objectives for maximum success.

2 - Map out a Plan
Ink it, don't just think it. Successful business owners construct a written plan to guide them and they surround themselves with the right advisory team. The biggest strength of small business owners may be the ability to identify their own weaknesses and find mentors to help fill the gap.

3 - Research the Situation
Know as much as possible about your potential customer, the competition and trends that may impact your business. Keep your eye on the ball, your ear to the ground and your finger on the pulse. Time and energy spent here will likely pay you back exponentially.

4 - Market Your Business
Now you can move things forward. Deciding how to carry out your plan will be much easier if you've done the homework. Reaching your market effectively requires knowledge of your customer and the competition, advice from experts and focus on the goal. Doing the research will enable you to develop a marketing strategy and save you money as you it carry out.

5 - Manage Cashflow
Track the numbers. Know where the money is going to and where it's coming from. Compare your actual income to your projected income as you move towards your goal. Remember that income and cash-on-hand aren't the same thing. Tracking allows you to adjust your sails before you get way off course.

6 - Take Training Courses
Continue to learn, grow and change. Anything that's not changing is not likely alive. Sometimes the best investment you can make in your business is an investment in yourself.

New Government Website ~ One Source for HST Information

Find seminars and all HST notices, publications and information at www.ontario.ca/taxchange

Harmonized Sales Tax Notices

On July 1, 2010 taxation will change in a big way as Ontario adopts a new Harmonized Sales Tax.
